Case studies

Different industries.
Same platform pattern.

Every business we work with has different compliance rules, different field teams, different reporting requirements. But the underlying architecture is always the same: capture structured data in the field, process and validate it, govern the workflow, generate audit-ready reports, and give directors real-time visibility. Here's how that pattern plays out in production.

This is the architecture behind every platform we build. The specifics change — the structure doesn't.

UK · Gas & electrical compliance auditing
Gas SafetyElectrical InspectionsSocial HousingQuality ControlCorrective ActionsBritish Standards

One system for every audit, every corrective action, every certificate — across 140+ housing providers.

Challenge

Morgan Lambert is the UK's leading independent gas and electrical safety auditor for the social housing sector. Their auditors inspect heating and electrical installations across hundreds of social housing providers nationwide — checking contractor work against British Standards, flagging defects, raising corrective actions and producing compliance reports.

Before the platform, the operation ran on a patchwork of disconnected systems. Audit results were captured in standalone forms and spreadsheets. Corrective actions were tracked in emails. Certificate validation was manual — auditors eyeballed LGSRs and EICRs one by one. Quality scoring for engineers and contractors lived in separate spreadsheets. Reporting to housing association clients meant pulling data from multiple sources and assembling it manually. Nothing linked back to a single source of truth.

As Morgan Lambert's client base grew beyond 140 registered social landlords — ranging from providers with 500 properties to organisations managing over 100,000 — the manual approach couldn't scale.

What we built
  • Field audit captureAuditors complete structured inspection forms on-site (gas, electrical, commercial plant rooms), with photos, GPS, timestamps and field notes captured against the relevant British Standard.
  • Certificate validationEvery LGSR, EICR and compliance certificate is ingested and checked against regulatory requirements. Missing fields, anomalies and non-compliant entries are flagged automatically — before they reach the housing association client.
  • Corrective action workflowWhen an audit reveals a defect or non-compliance, a corrective action is raised, assigned to the responsible contractor, tracked through resolution steps, and closed with evidence. Full audit trail at every stage. Escalation rules ensure nothing goes stale.
  • Quality control & engineer scoringEvery audit contributes to a quality profile for the engineer and contractor involved. Pass rates, failure categories, recurring issues and response times are tracked and scored — giving Morgan Lambert and their housing association clients data-driven quality oversight.
  • Client reporting portalEach housing association client gets a branded portal view showing their compliance status, audit results, outstanding corrective actions, contractor performance and trend data. No more assembling reports from spreadsheets.
  • Management dashboardsManagement dashboards showing audit volumes, regional coverage, corrective action turnaround times, compliance rates and auditor workload — giving directors real-time visibility across the entire operation.
Integration

The platform integrates with Morgan Lambert's existing scheduling, document storage and communication systems — consolidating what was previously spread across email, shared drives and disconnected tools into one ecosystem.

Outcomes
  • One platform replacing spreadsheets, email-based tracking, manual certificate checking and disconnected reporting tools
  • Full corrective action lifecycle — raise, assign, track, resolve, close — with audit trail and escalation
  • Automated certificate validation against British Standards (gas and electrical)
  • Quality control scoring for every engineer and contractor, built from real audit data
  • Client-facing portal giving housing associations live compliance visibility
  • Scalable to 140+ housing provider clients without adding manual overhead
UK · Construction quality inspection
RIBANECClerk of WorksMulti-siteInspectionsInvoicing

200+ projects, 100+ inspectors, 9 offices — one platform replacing Excel and Word.

Challenge

A UK construction quality inspection company operating across 9 offices with 100+ field inspectors managing 200+ active projects. RIBA and NEC inspection workflows ran on Excel spreadsheets, Word templates and email. Scheduling was manual. Reports were copy-pasted between templates. Invoicing was reconciled by hand. Directors had no single view of what was happening across projects, teams or regions.

What we built
  • Inspector schedulingDrag-and-drop assignment and conflict detection across 9 regional offices.
  • Mobile inspection capturePhotos, GPS, signatures, defect notes — submitted from the field.
  • Branded report generationAligned to RIBA and NEC stage requirements — no more Word templates.
  • Invoice validationReconciliation linked to completed inspections.
  • Project dashboardsDirectors see status, utilisation, outstanding actions and financial summary across all sites.
Integration

Email systems · Accounting software · Document storage — consolidated into one platform with role-based access for inspectors, project managers and directors.

Outcomes
  • Post-inspection admin reduced from days to minutes per report
  • Standardised RIBA and NEC reporting across all 9 offices
  • Single source of truth for scheduling, inspections, invoicing and project status
  • Director-level dashboards replacing verbal updates and monthly spreadsheet summaries
  • Inspectors, project managers and finance team all working in one system
US · Occupational health & testing
Medical ComplianceMulti-stateProvider APIsScheduling24/7 Operations

670+ clients, 24/7 operations, four tools replaced with one platform.

Challenge

A US occupational health and testing business serving 670+ employer clients across multiple states, operating 24/7. Appointment coordination, clinic and contractor dispatching, medical compliance workflows and scheduling were spread across SimPro, Google Calendar, Zapier and manual processes. No single view existed for the COO or ops director — and the duct-tape integrations between tools broke regularly.

What we built
  • Multi-state appointment coordinationTimezone-aware scheduling across multiple US states.
  • Contractor and clinic dispatchingReal-time availability across the network.
  • Medical compliance workflowsTest ordering, result tracking, clearance management.
  • Provider API orchestrationConnecting i3Screen, Concentra and CRL for automated test ordering and result retrieval.
  • Real-time dashboardsCOO and operations director see volumes, turnaround times, provider performance and client status.
Integration

SimPro · Google Calendar · i3Screen · Concentra · CRL — all replaced or consolidated into one platform with unified scheduling, dispatching and compliance tracking.

Outcomes
  • Four disconnected tools replaced with one platform
  • Provider API integration eliminated manual test ordering and result chasing
  • Centralised audit trails for every appointment, test and compliance action
  • Scheduling turnaround reduced significantly through automated dispatching
  • COO and ops director gained real-time visibility they never had before
